AGM Minutes

- Adoption of the Minutes of the 2008 AGM held June 1 in Vancouver, UBC

- Business Arising from the Minutes
- Virginia Stead requested the procedures for choosing the Graduate Student for the Executive. Discussion ensued related to whether or not CASEA should ask for nominations to elect the position and whether, if this were to occur, nominations should be sent to the general membership of CASEA or whether the Graduate Students’ Association would elect the position for CASEA. Previous conversations considered that faculty members should not be voting for students and that collectively the students would nominate the person amongst themselves who would be their representative on the executive. Difficulties in forwarding messages through technology via membership ensue because graduate students tend to be mobile; after their degrees are finished they often do not access CASEA notices. Robert MacMillan noted that this is in fact a Constitutional concern and therefore needs to be referred to a Constitutional committee. The discussion was tabled for the 2010 general assembly. In the interim, Rosemary Foster will circulate and solicit information from the membership as well as consult with the Graduate Student representative regarding the issues of concern.
- President’s Report – Rosemary Foster
- Rosemary Foster circulated the president’s report which outlined the initiatives undertaken by the organization this past year, as well as expressions of appreciation for all those who have helped to organize and support CASEA. (Lisa Wright, Coral Mitchell, Brenton Faubert).
- The disbanding of discussants for sessions was contested at the CSSE Board of Directors meeting. CASEA members suggested that the scholarship is often improved because of the value of discussions and symposia. Members encouraged the executive to continue in this vein.
- The decision made by the CSSE Board of Directors, that all applicants and presenters must be CSSE members for future conferences, was contested by CASEA members. Discussion related to the onerous financial obligations this would mean for invitees or people whose names were on papers but not necessarily presenters. Registering for the conference was deemed to be appropriate for presenters, but not forced membership. Rosemary Foster will take this issue to the CSSE Board of Directors meeting to encourage the Board to reconsider this decision.
- CSSE organization feedback. Members noted the nonexistent shuttle buses from the hotels to the conference, high parking fees, and transportation (golf carts, etc) for those who need assistance. Members encouraged Rosemary Foster to pass on this feedback to the CSSE Board so that these details can be attended to in future conferences.
- WERA. A motion was made by Carolyn Shields that Rosemary Foster ask the CSSE Board of Directors to reconsider its motion to commit to becoming a founding member of WERA until there is more clarity around its development and potential financial implications for CSSE. Seconded by Brenton Faubert. Unanimous.
- Past President’s Report – Claire Lapointe
- The primary responsibility for the past president is the creation of the new committee for francophone scholars. Three members are currently working on the committee: Roseline Garon, Carolyn Shields, and Claire IsaBelle. Claire LaPointe recommends that CASEA have one more faculty member as well as a graduate student on the committee. One of the issues for francophone scholar attendance is the fact that CSSE is two weeks after the francophone ACFAS conference that takes place in Quebec or Ottawa. A second issue is that CASEA members need to attend the bilingual presentations in order for francophone scholars to feel welcome and to continue to attend CASEA. Those CASEA members who did attend the session in the current year noted the quality of bilingual sessions.
- First and Second Vice-Presidents’ Co-Chair Report – Matthew Meyer and Bonnie Stelmach

- Notice of process for reviewing submissions and delineation of presentation formats.
- The graduate seminar was very well attended (22) and successful. The BELMAS seminar, Greenfield presentation and banquet occur after the CASEA AGM.
- Acknowledgement for Lisa Wright, Brenton Faubert, Linda Cimpric, and Coral Mitchell for their help in organizing aspects of the program and getting it ready to go online, and to all members who helped with reviewing and presenting papers.
- Bonnie Stelmach encouraged members who have any comments or ideas for seminars or conversations to forward them so that the planning committee can begin working on next year’s sessions.
- Conference Feedback from Members. Carolyn Shields noted that a translation website called Babelfish may be helpful to those who wish to craft bilingual presentations. Tim Goddard noted that some presenters represented Nunavut but this was not represented on the report; we need to be careful to fully represent all presenters. Coral Mitchell encouraged Rosemary Foster to find out whether associations could create some mechanism through CSSE for archiving proposal abstracts to maintain a record of research in Canada that could work as a clearinghouse for scholarship.

- Graduate Student Report – Brenton Faubert
- The CASEA Graduate Student Seminar was well attended. Appreciation was extended to Robert Macmillan for being speaker and to CASEA for providing the food for the session.
- WEB Management and Communication – Coral Mitchell
- Coral Mitchell encouraged CASEA to use the website as its running history of CASEA. Our association is still missing data on award winners, and anyone who might have information is asked to forward it to Coral. Most of the missing information pertains to years before electronic records were kept. Conference programs and reports are recorded, and the association has been much better in retaining records in recent years. It is most helpful to send electronic copies of reports immediately following CSSE, by the middle of June so that they can be uploaded in July before the busy-ness of the fall term begins.

- CJE is now available only online as of January 1, 2009.
- New Scholar’s Fund Advisory Board – Roseline Garon
- The new scholar winner for 2009 will be named in 2010; review process is not complete
- CCEAM – Ken Brien
- Ken Brien attended a CCEAM meeting in South Africa in September. Board discussion related to the hosting of future conferences: 2010 will be in Sydney; 2012 held in Cypress; CASEA was asked whether we might want to consider hosting the 200-300 delegate conference in 2014. The last time the conference was held in Canada was in Toronto in the 1990s. Discussion: Tim Goddard suggested that the proposal/bid would have to be presented in 2010 with the announcement made in Cypress in 2012. Due to the complexity and extensive nature of the process, CASEA could not wait until next year’s conference to begin working on the bid. The idea was put forward that the CASEA executive could work on the proposal to be forwarded electronically trough the membership for feedback. Tim Goddard suggested that University of PEI might be interested in hosting the conference because 2014 is the 150th anniversary year of the Charlottetown Accord. Tim Goddard volunteered to work with the executive to begin working on a proposal.
